Private Parties Policies
1. Deposit, Overtime, and Remaining Balance: Any rental of space from Luna y Cielo Play Café for a private party must be secured with a nonrefundable security deposit of 50% of total package. Only upon payment of this non-refundable security deposit shall Luna y Cielo Play Café securely hold the requested space for the private party rental. The non-refundable security deposit will be applied to the total rental balance.
a. The Private Party Renter and all guests must completely vacate the premises by the contracted time. We have built in enough time for the party and clean up. It is the sole responsibility of the party renter to vacate the space. To avoid automatically incurring the fees outlined above. Renter agrees to pay $75.00 per half-hour or $150 per hour. This amount shall not be pro-rated. If you’d like a longer party, please make your request prior to your event. Please see #6 Adding Extra Time to your party for details.
b. Your remaining balance and gratuity is charged at the end of your party including any other fees like extra party time, extra clean up fees, or staying past your contracted time.
2. Play Area Policies for Parties
a. We will be actively enforcing our normal safety rules and policies during parties.
b. Our crawler area is designed for guests 12 months and younger. If any older child (including an infant’s sibling) entering this area, Luna y Cielo Play Café reserves the right to ask the older child to leave the area.
c. No food allowed in the play area. (If your party guests begin eating, we ask they you please ask them to only eat in the party room)
During parties, food is only allowed in the party room and not in our cafe area
If there is an excessive amount of food crumbs, food wrappers, stickers etc in our play area or cafe area, we will charge a fee to clean.
d. The play area will CLOSE during cake and food time and will NOT reopen as we will need to begin cleaning.
e. Our play area is for any child with an imagination.
3. Food Add-Ons: Food or add-ons provided for the private party must be pre-arranged with Luna y Cielo Play Café at least seven (7) business days prior to the private party. Any changes made after this deadline must be pre-approved, but shall not be guaranteed and will incur a $50 convenience fee.
a. Substitutions: Luna y Cielo Play Café, may, at its sole discretion, make reasonable substitutions in order for items to arrive on time.
b. A non-refundable deposit for any add-ons will be taken at the time of booking for any add-ons contracted outside of Luna y Cielo Play Café. Cancellations on add-ons less than two weeks in advance may incur additional cancellation fees.
c. Pricing may be adjusted for market price variations that are beyond the reasonable
control of Luna y Cielo Play Café.
4. Decorations: Nothing may be hung on the walls or ceiling without the express, written permission of Luna y Cielo Play Café. Any client who adheres tape to the walls will be assessed a fine in the amount of $250 for damages, regardless of whether damage is immediately visible. Clients are free to hang decorations on any of our grids or windows in the party room. Helium balloons must be tied down either to a balloon weight or chairs. We encourage you to give stickers at the end of your party to avoid children placing stickers on walls and floors. We will access a clean up fee for removal of sticker residue.
5. Damage & Cleaning: Any excessive damage done to the Luna y Cielo Play Café
premises or to the Party Space or other Luna y Cielo Play Café property shall be billed to Private Party Renter for either replacement or repair.
a. In the occurrence of an additional mess – as determined by the Luna y Cielo Play Café management or staff – created or done by the Private Party Renter or any of its party guests (children and adults included-including bodily fluids or solids) resulting in extra cleaning of the Party Space, Luna y Cielo Play Café premises or other Luna y Cielo Play Café property shall result in Private Party Renter to be charged an additional $350 non refundable cleaning fee. This includes cleaning up rice. Please make sure you clean up big chunks of rice. If you bring a cooler, please make sure you plug up your cooler so there are no leakages.
b. Any additional damage to the Luna y Cielo Play Café premises, the Party Space or other Luna y Cielo Play Café contents or property created or done by the Private Party Renter or any of its party guests (children and adults included) shall be charged to the Private Party Renter accordingly.
c. Luna y Cielo Play Café cleans and sanitizes its toys, property, Party Space, premises and other property (including bathrooms) on a consistent basis. Private Party Renter and all party guests must ensure that they dispose of all waste materials such as diapers, paper towels and trash in the correct receptacles provided by Luna y Cielo Play Café.
d. Table scatter and sticker clean up fee $100
e. Confetti is a choking hazard for children. For safety reasons, no confetti.
f. Floor Sanitization fee: We ask that all guests remove their shoes in all areas of our play space. It’s understandable that some can not remove their shoes for certain reasons and we have shoe covers for purchase. If party guests are unwilling to follow our no shoe policy we will add a Floor Sanitization fee at the end of your party.
6. Adding Extra Time to your party:
Adding on an extra hour(s) 2 days prior to your party- $100/hr.*
Adding on less than 48 hours before or the day of- $150/hr.*
*This allows us to properly schedule our employees in advance and also be mindful of our employees personal time and schedules.
7. Outside Vendors: Any outside vendors do need to be approved before being booked. Face painting or any other vendor which requires extra clean up from our staff will incur a cleaning fee of $350.
As a reminder, your party is only 3 hours including food, cake, singing and clean up..
Party Itinerary:
1 hour 45 minutes play time and adults eat
15 minutes photo and transition to party room
30 minutes to sing happy birthday, take photos, and children eat
30 minutes to settle account and to say your goodbyes to your guests
You must remove everything from the premise by the end of your contracted time.
8. Gratuity: Gratuity is not required but is appreciated and left up to the discretion of the Private Party Renter.
9. Socks: Luna y Cielo Play Café is a “no shoes, socks required” play space for everyone throughout our space. Socks ARE required in our facility at all times. Both adults and children are required to wear socks. Grip socks are better for children as our floors can be slippery.
Wearing coverings on your feet is part of the health code. This is necessary for the health and safety of the children. The Private Party Renter is responsible for enforcing that all party guests have socks with them when they Enter Luna y Cielo Play Café. If a guest does not have socks, Luna y Cielo Play Café can sell them a pair or run a tab for socks that will be charged to the Private Party Renter at the completion of the party. We also have shoe covers for those who don’t want to remove their shoes. Both will incur a fee of $2. We also have wipes for wheelchairs and strollers. Strollers will need to be folded up and tucked away. During the winter, stroller will need to be parked in our outdoor covered vestibule.
10. Personal Property: Luna y Cielo Play Café, its agents and employees are not responsible for the Private Party Renter or any of its Party Guests personal property. It is the sole responsibility of each person entering into the facility to be responsible for all possessions. Under no circumstances shall Luna y Cielo Play Café, its agents or employees, take responsibility for any lost, stolen, missing or damaged personal property or otherwise.
11. Safety: Private Party Renter and the parents of the party guests (invited or otherwise) are completely responsible for the well-being and behavior of their minor child while on the Luna y Cielo Play Café premises, the Party Space or other Luna y Cielo Play Café property. Luna y Cielo Play Café and its staff shall not be made responsible to watch children while at a party.
12. Conduct: Luna y Cielo Play Café reserves the right to ask any child or adult during the Private Party found to be destructive and/or abusive to any other guests or staff (whether party guests or not), to immediately leave Luna y Cielo Play Café property. In the event a party guest or host is asked to leave, there will be no refunds.
13. Indemnification: The Private Party Renter agrees to hold harmless and indemnify Luna y Cielo Play Café, its officers, directors, employees, and agents (collectively, the "indemnified Parties"), from and against any and all losses, costs, expenses, including but not limited to, reasonable attorneys' fees, claims, actions, demands, damages incurred by or asserted against the indemnified Parties by reason of the acts, omissions or negligence of the Client, its guests, employees, agents or independent contractors, arising out of or in any way connected with the Private Party Renter’s event (Private Party), except when directly caused by the gross negligence or willful misconduct of the Indemnified Parties.
14. Cancellations: Should a party need to be canceled, you may reschedule at a later time if available on a one time basis. No refunds will be issued even in the event of sickness. We understand children get sick and we will extend one reschedule on an open and available date.
15. Default: Failure by the Private Party Renter to timely pay Luna y Cielo Play Café all amounts due shall constitute a default by the Private Party Renter. Upon a default by the Private Party Renter, Luna y Cielo Play Café, at its sole discretion, may (I) terminate this contract and retain all amounts paid to Luna y Cielo Play Café as liquidated damages, or (II) enforce the terms of this contract through any and all remedies that it has as defined in this contract. In no event of default shall Luna y Cielo Play Café be liable to the Private Party Renter for any amount in excess of amounts paid to Luna y Cielo Play Café. Said payment constitutes the Private Party Renter’s sole and exclusive remedy and the Private Party Renter hereby relinquishes any and all causes of action, which the Client otherwise have in law or in equity as defined in this Contract.
16. Applicable Law and Construction: The laws of the State of Illinois shall govern the validity, performance and enforcement of this contract.
17. Arbitration: By executing this agreement, Luna y Cielo Play Café and the Private Party Renter agree that any dispute or claim arising under or with respect to this Agreement will be resolved by Arbitration in Chicago, Illinois an arbitrator chosen by agreement of the Parties. Each party shall equally bear any costs associated with arbitration. The award shall be final and binding upon the parties. Any award may be entered as a judgment or order in any court of competent jurisdiction.
18. Force Majeure: Neither Luna y Cielo Play Café nor Private Party Renter shall be liable or responsible for any delays or cancellations of the Private Party due to strikes, lockouts, casualties, acts of God, war, governmental regulation or control or other causes beyond the reasonable control of the Luna y Cielo Play Café or Private Party Renter. These policies shall be governed by and construed in accordance with the laws of the State of Illinois.
